Who we are
Home Service Engine LLC (“Home Service Engine,” “we,” “us”) provides fractional ServiceTitan back office services to residential HVAC, plumbing and electrical contractors.
This policy covers homeserviceengine.co and the services we deliver directly. It does not cover Ledger Forward or Home Service Scorecard, which are separate companies with their own privacy policies on their own websites.

Information we collect
Information you give us
When you submit a form on this site: your name, company name, email address, phone number, whether you use ServiceTitan, roughly how many technicians you run, and anything you write in the message field. When you download a free resource: your name and email address. When you become a client: business and operational information needed to do the work, which may include ServiceTitan account access, pricebook and vendor cost data, and payroll configuration.
Information collected automatically
Google Analytics — pages viewed, time on page, approximate location derived from IP address, device and browser type, and how you arrived at the site. This is aggregate traffic data and we don’t use it to identify you personally.
Google Search Console — reports on how the site performs in Google search results. It doesn’t set cookies or track individual visitors.
WhatConverts — marketing attribution. This one works at the visitor level rather than in aggregate: it assigns a unique phone number to your visit so we can tell which ad, search term or campaign brought you, and it connects a form submission or phone call back to that source. It sets a cookie so the same number persists across your session. If you leave a voicemail on a tracked number, WhatConverts records and transcribes it.
Our hosting provider also keeps standard server logs, including IP addresses and browser information, for security and reliability.
Call and meeting recordings
Video calls — Calls with our team may be recorded and transcribed using Fathom, an AI notetaker. Every participant is notified and consent is obtained before recording begins. If you’d prefer not to be recorded, tell us and we’ll turn it off.
Phone calls — Phone calls with our team may be recorded through Close, our CRM, so we can capture what was discussed and follow up accurately. If you’d prefer not to be recorded, say so at the start of the call and we’ll turn it off.
Voicemails — Voicemails left on our tracked numbers are recorded and transcribed by WhatConverts, along with the marketing source that led to the call.
Recordings and transcripts are used to capture action items and internal notes. They are not shared outside Home Service Engine without your consent.
How we use your information
We use the information we collect:
- To respond to your enquiry and schedule a call
- To deliver the services you've engaged us for
- To send you resources you've requested
- To send occasional emails about our services, which you can opt out of at any time
- To improve the site and understand what's useful
- To meet legal, tax and accounting obligations
We do not sell your personal information. We do not share it with third parties for their own marketing.

We share information with vendors who help us operate. Each processes data on its behalf under its own terms.

Client financial data
If you engage bookkeeping services, that work is delivered and invoiced by Ledger Forward, a separate company. Your accounting records, bank and credit card transaction data, and payroll information are handled by Ledger Forward under their own privacy policy and engagement terms, not this one.
Separately, when we rebuild a pricebook we access ServiceTitan data including vendor costs and pricing. That access is granted by you, limited to the work engaged, and can be revoked at any time.
Cookies
This site uses cookies set by Google Analytics to distinguish visitors and measure usage, and by WhatConverts to keep your assigned tracking number consistent during your visit. You can block or delete cookies in your browser settings; the site works without them, though attribution and analytics won’t function.
We don’t run advertising or retargeting pixels.
How long we keep things
Enquiry and download records: kept while there’s an active or prospective relationship, then for a reasonable period afterwards. Client records: kept for the duration of the engagement and for as long as needed for legal, tax and accounting purposes. Call recordings: retained in Fathom according to our account settings. Analytics and attribution data: retained per each provider’s default settings.
You can ask us to delete your information at any time and we’ll do so unless we’re required to keep it.
Your rights
You can ask us to:
- tell you what personal information we hold about you
- correct anything inaccurate
- delete your information
- stop sending you marketing emails
- provide a copy of information you gave us
Email hello@homeserviceengine.co and we’ll respond within 30 days.
If you’d rather not be tracked by analytics, most browsers offer a Do Not Track setting and ad blockers will block these tools.
If you’re in California, Colorado, Connecticut, Texas, Utah or Virginia
Your state gives you additional rights, including the right to know what categories of personal information we collect, the right to delete it, the right to correct it, and the right to opt out of its sale or of targeted advertising. We do not sell personal information and do not use it for targeted advertising. We will not discriminate against you for exercising any of these rights.
Security
We use reputable providers, limit access to what people need to do their jobs, and use multi-factor authentication where available. No system is completely secure, and we cannot guarantee absolute security of information transmitted to us.
Children
This site is for business owners. We do not knowingly collect information from anyone under 18.
Changes
We’ll update this policy when our practices change, and we’ll update the date at the top. Material changes affecting current clients will be communicated directly.
